Your profile

This page talks a lot about your 'profile'. This is a small file on our computer system where we save all the details that have been given to us by you (or by a parent/carer). You can ask us to change or delete your profile any time - see 'Your Rights' below.

About Vision

Vision is a charity working with children and teenagers in Rossendale. Please see the 'Help' section at the end of the page for more details.


Your profile

The first time you come to a Vision event, we'll ask you to fill in a registration card so we can create your profile. We'll need your name, age/school, and emergency contact details, but you can also choose to tell us about any medical conditions, allergies or additional needs. This information helps us to keep you safe when you're with us.

Contact details

When you fill in your registration card, you'll have the choice to receive event reminders and other updates. If you sign up, we'll need to know your mobile number or email address.

Photo consent

 You'll also be able to tell us whether you're happy for photos or video clips which show you taking part in our activities to be used on Vision's website, social media or newsletters etc. This information will be added to your profile.


Parental consent form

For some activities and trips, we'll need to check with a parent/carer that it's OK for you to take part. We'll use a Parental Consent Form to collect any extra safety information that we need for each activity. We'll also find out how your parent/carer would like to be contacted, and will make sure we have their consent for important things like transport and first aid. 


When working out statistics, we always take out information that could be linked to a person. This leaves us with general stats about large groups, for example: "this month, Vision has worked with 600 students aged 13-16".


Using photos and videos

We often take photos and videos at Vision events. These are sometimes shared more widely so that other people can see all the exciting things that Vision does. Photos and videos might be uploaded to our website or social media pages, or printed for newsletters.

For smaller events, like Connect, we know who everyone is. If you're on a photo or video that we want to share, we can check with you first. We may also ask a parent or carer if this is OK with them too.

For bigger events, there are so many people that it's hard to check with everyone. When this happens, we put up notices so everyone knows how we will use photos and videos.


Keeping everyone safe

Our youth centre, Woodlea Mission, has CCTV cameras which record indoors and outdoors 24 hours a day. 

CCTV cameras help make our building safer for visitors and volunteers. All activities and events can be monitored live or reviewed later by our Safety Team.


First Aid

We do everything we can to keep you safe when you're at Vision events. If you have an accident or feel ill, we'll write down what happened so we can talk to your parent or carer. We'll save all the details safely in our office.

Talking to us

You can talk to our team about anything! Sometimes, we need to write down the things you tell us, especially if someone is in danger. We'll tell you if this happens, and will keep the notes safe in our office. The only people who will see the notes are adults who can help you (for example, we may need to pass information confidentially to the police).


Our promise

We want you to be able to trust us with your personal information, so here's our promise:


1. We'll only ask for information that we really need.

2. We'll do everything we can to keep your data safe.

3. We'll never share your details outside of the charity, except for the two reasons shown below...

Help from other companies

Vision is a small charity, so we use trusted companies like Microsoft or MailChimp to help us store our data safely and securely.

Legal reasons
Like all charities, there are times when the law says that we must provide information to the police or similar authorities.


The right to update your info

Using the Privacy Dashboard, you can update your details at any time.

The right to opt-out

Using the Privacy Dashboard, you can opt-out of any event reminders or other updates that you asked us to send to you.

The right to be forgotten

Using the Privacy Dashboard, you can ask us to delete any information you wrote on your registration card. The adult who completed your parental consent form can ask us to delete or update any extra information they provided about you.

The right to see your data

Using the Privacy Dashboard, you can ask to see a copy of all the data we store on your profile.


Data collected with your consent

Information we collect from your registration card or parental consent form will be stored for up to 12 months after you last attended an event, unless you ask us to delete it.

Data collected for legitimate interests

By law, we may need to keep hold of accident records, CCTV footage of incidents, and safeguarding notes, so you can't ask us to delete any of this data. CCTV footage is usually stored for up to 6 months. Safeguarding notes, including accident records, may be stored for up to 5 years.

Photos & videos

As a registered charity, it's in the public interest for us to keep a record of Vision's work and legacy. For this reason, official photos and videos taken at Vision events are usually archived on our system. You can ask us to remove a specific photo or video from our website or social media using the Privacy Dashboard.
