About this page

This page is all about the personal data that Vision collects and uses relating to you as a parent or carer. If you're looking for privacy notices for your child, please select ages 0-12 or ages 13-17.

We know there's a lot to read, but we want you to know exactly what data we store, why we need it, and what your rights are. 

 

Your profile

​Your profile is where we save personal details provided by you or your child. Your profile might include paper copies (like consent forms) as well as electronic files (on our computer system). You can ask us to update or delete your profile any time.

​

About Vision

Vision is a registered charity working with young people in Rossendale. Please see the 'Help' section at the end of the page for more details.

Registration

Emergency Contacts

Before a child can take part in regular Vision activities, we'll need to register some basic details. Children aged 12 or under must be registered by an adult, but teenagers aged 13-17 can register themselves. 

 

During registration, we'll ask for the full name and mobile number of someone we can contact in an emergency. If your details are provided (by you, your child, or another adult) we'll add you to the child's profile as an Emergency Contact. We won't get in touch unless we really need to. 

 

Primary Contacts

For some activities and trips, we'll need a Parental Consent Form. This helps us collect any extra safety information that we need. Parental Consent Forms must be completed by a parent or legal guardian, who will become the Primary Contact. If you complete this form, you'll be able to provide your own contact details and opt-in to receive event reminders or other useful updates.

Photos + Videos

Taking photos and videos

We often take photos and videos during Vision events as a record of the charity's work. Some of these may be posted on our website or social media, or used in newsletters or other promotional material.

If you accompany your child to a Vision event, you'll see that notices are clearly displayed so visitors know how photos and videos may be used, and how to opt-out or remove a photo.

 

CCTV

Our youth centre, Woodlea Mission, has CCTV cameras inside and outside. This helps make our building safer for visitors and team members.

​

Whenever the building is open, our safety team are allowed to check the CCTV if needed, just to make sure everyone is OK. If an incident happens, recordings can be downloaded later and saved in case we need to investigate or pass evidence to the police. Recordings sometimes include audio as well as video.

We have a strict safeguarding rules so our team know who is allowed to view CCTV, and where videos can be saved. If you want to know more about this, please contact us

Safety

First Aid

In the unlikely event that you're hurt during a Vision event, we'll create an accident record which we'll store securely.

​

Safeguarding notes

If you tell us something which we think is a safeguarding concern, we'll need to make some confidential notes about what you said. This is to help us protect children from harm. Notes are kept separate from your profile, but may need to be passed on to the police or organisations who specialise in child safeguarding.

Protecting your data

Our promise

We want you to be able to trust us with your personal information, so here's our promise:

 

1. We'll only ask for information that we really need.

2. We'll do everything we can to keep your data safe.

3. We'll never share your details outside of the charity, except for the two reasons shown below...

Trusted service providers

Vision is a small charity, so we use larger, trusted service providers to help us store our data safely and securely.

Legal reasons

Like all charities, there are times when the law says that we must provide information to the police or other authorities.

Your rights

The right to update your info

Using the Privacy Dashboard, you can update any information you've provided about yourself or your child.

​

The right to opt-out

Using the Privacy Dashboard, you can opt-out of any event reminders or other updates that you asked us to send to you (or to your child if they are under 13).

​

The right to be forgotten

Using the Privacy Dashboard, you can ask us to delete any information you have provided about yourself or your child.

​

The right to see your data

You can ask to see a copy of all the data we store on your profile. Please complete our contact form.

​

How long is data saved?

Data collected with your consent

Most information will be stored for up to 12 months after your child last attended an event, unless you ask us to delete it. This includes basic registration details and Parental Consent Forms.

​

Data collected for legitimate interests

We may need to keep hold of accident records, CCTV footage of incidents, and safeguarding notes, so you can't ask us to delete any of this data. This data may be stored for up to 5 years.

​​

Photos and videos

As a registered charity, it's in the public interest for us to keep a record of Vision's work and legacy. For this reason, official photos and videos taken at Vision events are usually archived on our system. You can ask us to remove a specific photo or video from our website or social media using the Privacy Dashboard.
